Absences for Faculty and Other Academic Appointees

Each unit (department, division, laboratory) is required to track used vacation time for academic appointees; there is no eDoc or system used to track vacation time used.

Designated staff in each unit are required to initiate Leave of Absence eDocs for medical leave with a note indicating the reason for the leave (e.g., personal medical). Medical certifications, FMLA forms and other related documentation for medical leaves are kept on file in the unit and do not get attached to eDocs. Designated staff in each unit are also responsible for submitting the Return to Duties eDocs at the appropriate time.

There is no eDoc or system used to track funeral/bereavement leave for academic employees; units should create their own tracking system.

Tenure track faculty and librarians should refer to University Policy ACA-47 Leaves for Academic Appointees for eligibility, duration and other requirements. Faculty should follow the steps below to submit an application for sabbatical leave or contact the HR staff in their department or division for assistance.

  1. Tenure track faculty/librarian – Submit the following items to your Department Chair, Regional Campus Dean, or Library Director no later than September 15.

    • Updated CV in IUPUI Format

    • A brief description in a Word document of the overall plan of work; sites to be visited, organizations you are working with, and other details; anticipated products or outcomes; plan for dissemination; and indication for support.

    • Division Chief approval (if applicable)

    • IRB/Animal Care approval (if applicable)

    • Report from prior sabbaticals (if applicable)

  2. Department Chair, Regional Campus Dean, or Library Director – Submit the sabbatical application materials along with a letter of support to Faculty Affairs (acadadmn@iu.edu) no later than October 15.

  3. The Executive Associate Dean for Faculty Affairs and Professional Development will review the applications and if approved, will submit the application materials to the IUPUI Office of Academic Affairs via the online Application Tool.

Once approved, designated staff in each unit are required to initiate a Leave of Absence eDoc for the sabbatical leave within 30 days of the sabbatical leave effective date. Attach documentation of sabbatical leave approval. Designated staff in each unit are also responsible for submitting the Return to Duties eDocs at the appropriate time.

Designated staff in each unit are required to initiate Leave of Absence eDocs for military leave with a note indicating the reason for the leave (e.g., military leave). Documentation for military leave should be kept on file in the department and does not get attached to the eDoc. Designated staff in each unit are also responsible for submitting the Return to Duties eDocs at the appropriate time.

There is no eDoc or system used to track jury or witness duty for academic employees; units should create their own tracking system.

Designated staff in each unit are required to initiate a Leave of Absence eDoc for family leave with a note indicating the reason for the leave (e.g., family formation or family care-spouse). Medical certifications, FMLA forms and other related documentation for medical leaves should be kept on file in the unit and does not get attached to the eDocs. Designated staff in each unit are also responsible for submitting the Return to Duties eDocs at the appropriate time.

Once approved, designated staff in each unit are required to initiate a Leave of Absence eDoc for the phased retirement within 30 days of the phased retirement effective date. Attach documentation of phased retirement approval to the eDoc. Units are also responsible for submitting the Return to Duties eDocs at the appropriate time.

Academic appointees should contact the HR staff in their department or division for flexible work, outside work or other reasons for absences not covered on this page.
